Grant application process: Confirming a successful application

Your organisation invites charities to apply for grant funding and the entire process of receiving, evaluating and responding to applications is hugely time consuming. You are tracking everything in spreadsheets and communicating by emails which are not accessible to everyone in the organisation.

In the third of five blog posts that illustrates how the entire grant process and more can be streamlined using Salesforce in conjunction with FormAssembly (online form app) and Drawloop (automated document generation app), we focus on the process of making a grant offer and capturing acceptance via an online form.

For those of you who find a process diagram useful, here’s the demo grant application process diagram.

Element 3: the grant offer acceptance form

The grant administrator navigates to grant application once the Assessor has submitted their evaluation and score for in-house review. In this case, the application has been successful and the grant administrator enters decision notes, the amount awarded and the approved purpose for the grant

The grant administrator then changes the status to “Successful”. This will automatically generate an email to the grant contact with a link to an online acceptance form

Notification of successful grant

Clicking the link will take the grant contact to a form where they are asked to accept the grant award terms and conditions

Once submitted, the grant application record in Salesforce will show that the grant terms and conditions have been accepted

The next blog will illustrate how the Grant contact is invited to an onboarding event and how an online RSVP form streamlines this part of the process
